clearAMS / How it works

From draft to formal.

A plan in clearAMS isn't simply saved and done. Every plan follows an explicit, auditable path, and the software enforces each step.

Who does what

Everyone gets the same clear picture and the same guardrails, whatever their financial fluency.

Principals

Build the site expenditure plan in the guided builder, respond to feedback, and present to their School Site Council.

Designees

Help build or view plans for the schools they've been given, with the access the district decides.

Arts office

Reviews every plan, approves or requests revisions, imports and reconciles, and sees the whole district.

Business & fiscal services

Watch proportionality and the supplant baseline across sites, reconcile to actuals, and pull the evidence packet at audit time.

School Site Councils

Approve the plan. Their approval date is what makes a plan formal, and any material change needs it again.

The life of a plan

  1. Build

    The principal works through each section of the plan. Guardrails and the allowability check run as they go, so problems surface while they're cheap to fix.

  2. Submit for compliance review

    Submission generates the dated plan document in your district's Drive and puts the plan in the arts office's review queue.

  3. Review with a decision

    The reviewer approves or requests revisions with a written note and line comments. clearAMS drafts the note from the plan; the reviewer edits it before it goes out.

  4. Revise and resubmit

    The principal sees exactly what was asked. On resubmission, clearAMS checks line by line what was fixed and what still isn't.

  5. Present to the SSC

    Once the plan is compliance-checked, one click builds the slide deck and another the printable copy for the meeting.

  6. Formalize

    The principal records the SSC approval date. A plan is not formal until it's entered, and a future date doesn't count.

  7. Keep it honest

    Any addition, removal or change to a line's amount after formalization sends the plan back through review and requires fresh SSC approval. There's no dollar threshold to work around.

Getting your district set up

Your district runs in its own space on the platform. Setup is a handful of steps, and your existing plans come with you.

Claim your district

We set up your district's own clearAMS address, with your name, reviewers and support contacts.

Load allocations

Upload each school's allocation from a spreadsheet. Map your columns once and reuse it every year.

Invite your people

Add principals and designees to your approved list, with the role and schools each one gets.

Bring plans in

Import last year's plans from Word or PDF, or let principals start fresh in the builder.
